Concordia University Chicago (CUC) invites applications for the full-time position of Coordinator of Campus Events in the Department of Auxiliary Services. This position is responsible for scheduling and coordinating all customer service-related aspects of all non-academic events on the Concordia University Chicago campus.


  • Schedule university-sponsored, non-academic events and activities, and coordinate usage of campus facilities for all faculty, staff and student groups. This includes, but is not limited to, coordinating the physical set-ups, food arrangements and audio-visual (AV) arrangements.
  • Observe events and their set-ups/takedowns to ensure that:
    • General safety of building users is ensured
    • Room conditions and set-ups adequately meet the needs of users, in addition to meeting the standards and expectations of the university
    • Furnishings and equipment are in their proper location and arrangement
    • Policies governing the use of facilities are being observed
  • Supervise the activities of conference groups and Concordia-sponsored activities as they utilize Concordia facilities, acting as a liaison between the group(s) and respective Concordia department(s) performing contracted and/or support services (departments include, but are not limited to: Housekeeping, Public Safety, Physical Plant, CougarNet, AV and the University's contracted food service provider)
  • Maintain a working knowledge and understanding of the policies, procedures, aims and purpose of Concordia University
  • Coordinate and plan all on-campus events directly with clients, leaving final contract development and approval to the Director of Contract Management & Auxiliary Services
  • Enter, manage and oversee the University's master events calendar
  • Train University faculty, staff and students on the procedures for entering events into scheduling system as well as inventory needs (AV, food, etc.)
  • Evaluate building usage and guest satisfaction and make recommendations for increasing both in order to develop the Koehneke Community Center's (KCC) potential as the primary center of activity for the campus
  • Develop personal technical expertise in order to:
    • Relay physical requirements for set-ups to student workers
    • Before events begin, confirm physical set-ups for banquets, meetings, conferences, and other programs
  • Review performance of the student staff with the Director of Contract Management & Auxiliary Services
  • Actively participate in the supervision and inspection of student workers
  • Develop and implement periodic staff evaluations, in-service training programs, and operations manuals and handbooks (policies and procedures)
  • Maintain daily oversight of the physical condition and cleanliness of the KCC facility
  • Oversee the inventory, maintenance, use inspection, repair, replacement, and security of Center equipment, keys, furnishings, and facilities
  • Assist the Director of Contract Management & Auxiliary Services in the planning and implementation of a training program for all KCC employees
  • Assist the Director of Contract Management & Auxiliary Services in the administrative functions of the Center as assigned
  • Act as University's on-campus contact for contracted events
  • Participate in activities, which will enhance personal professional development (i.e. - courses, conferences, research)
  • Develop signage for all campus events as needed

Minimum Experience Required:

At least one year of event management experience preferred

Education Requirements:

  • Associate's Degree (or equivalent Event Management certification) required
  • Bachelor's Degree (in Hospitality and Event Management) preferred
  • Additional training in various facets of event planning preferred

Compensation and Benefits:

Starting range is dependent upon individual qualifications and experience. Concordia health, disability and retirement plan enrollment is available to full-time employees and their eligible dependents. Tuition benefits are also available for employees and their qualified dependents.
