The Applicant Data Specialist is directly responsible for the creation, updating, maintenance, and overall accuracy of all traditional undergraduate applicant student records.  Provides support for daily communication to internal constituencies involved in the applicant review process including but not limited to admission counselors, athletic coaches, and transfer credit evaluators.  Additional duties include oversight of multiple aspects of admitted and deposited student records as well as routine communication with key university departments.  The position reports directly to the Admission Communications Manager.


  • Creates, updates, manages, and ensures the accuracy of all traditional undergraduate applicant student data in the system of record at the university (Banner).
  • Processes complex data according to established guidelines, utilizing good judgment in the application of such policies and procedures.
  • Performs complex data entry functions utilizing prescribed methods that enable appropriate communication with prospective students, applicants, and admitted students.
  • Oversees the entry of traditional undergraduate applicant data from a variety of electronic and paper sources, collaborating with the Information Technology department to facilitate streamlined processes and procedures.
  • Utilizes a number of tools, including Access queries, to assess daily data entry accuracy, providing feedback and additional training to co-workers as needed.
  • Assists with testing of system upgrades that impact or require applicant, admitted, or deposited traditional undergraduate student records, as requested.
  • Assists with the official document scanning and indexing processes, procedures, and maintains updated training on such functions to perform duties as needed.
  • Facilitates the transition of all official enrollment records to the Office of the Registrar at the conclusion of each enrollment cycle (Fall and Spring)
  • Oversees multiple aspects of all traditional undergraduate applicant, admitted, and deposited student records and routinely communicates with key university departments regarding such records of all new traditional undergraduate students.

Skill Sets:   

  • Superior knowledge and demonstrated proficiency with MS Office Suite products (Word, Excel, and Access) required.
  • Keyboarding minimum of 45 wpm; advanced word processing skills strongly desired.
  • Demonstrated organizational skills and exceptional ability for accuracy in all work.
  • High level of verbal and written communication skills.
  • Experience with data management and processing.

Minimum Experience Required:

  • Experience with data management and processing.
  • Experience in higher education environment and/or working with student employees desirable.

Education Requirements:

  • An Associate's Degree is required but a Bachelor's degree in a related field is preferred.
