Provides leadership to plan, organize and manage all of the activities related to the Registrar's Office, including serving as the authorized keeper of the college's student academic records.  This position is responsible for the compilation and maintenance of student records in compliance with federal and state regulations and accreditation agencies; assists students, faculty, staff, alumni, and others in the Concordia University Chicago community; maintains smooth operations of the office; keeps abreast of regulations and procedures of student records as required by accreditation agencies; and serves as a resource regarding FERPA regulations.


The CUC Registrar supervises an experienced staff and provides leadership in processes, technology and innovations which improve efficiencies, reduces errors and cost and provides excellent service in this critical support component of the institution. 

Responsible for compliance with academic, regulatory and accreditation policies in the collecting, recording, maintaining and reporting of student records, e.g., grades, registration data, transcripts, National Student Clearinghouse, IPEDS, etc.; collaborates with Institutional Research.

Collaborates with department chairs and academic deans to develop the course schedule each semester.

Directs and coordinates college registration activities.

Supervises the coordination, evaluation and certification of all graduation applications.

Prepares commencement lists and assists in graduation functions.

Adjudicates petitions for exceptions to registration and graduation policies.

Directs preparation of and secure storage and transmission of student transcripts.

Directs compilation and editing of university catalogs.

Coordinates class schedules with room assignments for optimum use of instructional space on the River Forest campus.  

Hires, supervises and annually evaluates the Registrar's office staff; recommends promotions and changes in compensation.

Provides leadership, recommendations, and oversight for the implementation of technological applications to enhance the services offered by the Registrar's Office.

Collaborates with senior leadership, deans, department chairs, faculty and IT to facilitate and improve services to students.

Oversees the creation of routine and ad hoc data reports for academic departments; collaborates with the Office of Institutional Research for production of internal reports, e.g. census data.

Attends conferences and professional meetings to remain current in the field and attends likewise to the professional development of staff members.

Participates as a member of the Academic Cabinet and is an ex officio member of academic/college policy committees.

Is fully accountable as the custodian of all student academic records, both current and historic, and safeguards student privacy and institutional integrity where these are concerned. 

Minimum Experience/Skill Sets Required:

  • Understanding of and commitment to the Christian mission of the institution.
  • Experience: 5-7 years of direct experience in mid-size university or 3 years in a related field.
  • Demonstrated expertise with database systems (Banner, DegreeWorks preferred)
  • Ability to communicate effectively in English, both orally and in writing.  Fluency in Spanish is a plus.
  • Knowledge of academic student record-keeping in a setting of higher education and of the compliance requirements thereof to external regulators or accreditors.
  • Ability to work with diverse constituencies, individually and as a group.
  • Proven qualifications of integrity, leadership, accuracy, initiative and organization.
  • Federal immigration regulations require this person be a citizen or lawful permanent resident of the United States.
  • Excellent organizational, communication, and interpersonal skills.

Education Requirements: Master of Arts or Master of Science degree in Higher Education  Administration, Education, MBA or related discipline.
